How it works

From payment to live, and who does what.

Acumen is a managed system, so most of the work is not yours. This is the whole sequence, including what we need from you and what happens when something is not right.

01
You

Choose a level and pay

Pick the level that covers where enquiries are being lost. Payment happens on the site and starts the setup immediately. There is no call to book, no proposal to wait for, and no application to be approved.

02
You

A short first step

Straight after payment you confirm a handful of basics. Most of it is already filled in from checkout, so this is confirmation rather than data entry.

What is asked

  • Business name as customers know it
  • Website
  • Main location and timezone
  • Who is setting this up
  • Where setup messages should go
  • Confirmation you can authorise the setup
Under two minutes, then you can stop
03
Acumen

Your account is built

We create your system, apply the standard configuration for your level, and open a setup area where the remaining details are collected as separate small tasks rather than one long form.

You complete those tasks whenever it suits you. Each one explains why the information is needed and what it controls, and each saves on its own so nothing is lost if you stop halfway.

04
You

You supply the business facts

This is the part only you can do. Acumen provides the operating logic; you provide the truth about your business. You are not configuring anything, only answering questions about how you work.

What this covers

  • Services you take on, and what you do not
  • Hours, and what happens outside them
  • What makes an enquiry worth pursuing
  • What disqualifies one
  • Who receives escalations and urgent cases
  • Answers you are happy to have given
  • Subjects the system must never address
  • Booking rules and availability

Where a default is sensible, Acumen proposes one so you can accept it rather than invent an answer.

05
Acumen

Configured, connected and tested

Your answers are built into the system. Channels are connected, rules applied, destinations wired, and the whole thing tested against the journeys a real customer would take.

What gets tested

  • The paths a normal enquiry takes
  • Enquiries that should be turned away
  • Missing or contradictory information
  • Cases that must reach a person
  • Booking, confirmation and reminders
  • What happens when something fails

If your answers contradict each other or leave a gap, we come back to you rather than guessing which one you meant.

06
You

You review and approve

You see exactly what the system will say, what it is allowed to decide, when it books, and when it hands over to your team. If any of it reads wrongly, it is changed before launch, not after.

Nothing speaks to a customer until you have signed it off.

07
Acumen

It goes live and keeps running

Your system starts handling enquiries. From there it is monitored, reported on, and adjusted as your business changes. Settings can be updated whenever you need.

Where the system keeps meeting a question it cannot answer, we bring it to you rather than quietly changing what it tells your customers.

The parts that only you can do are small, and none of them are technical.

Confirming your details, answering questions about how your business works, and approving what the system says before it launches. Everything between those steps is Acumen's.

Acumen

Managed front-office systems for established businesses. Customer conversations are answered, organised, and carried through to a clear next step.

Acumen systems use AI to handle customer conversations. AI is disclosed to the people it speaks with and never presented as a person. Sensitive, unclear, and out-of-scope requests are routed to a human.
